1. Who we are
Optix LAB MedSync is lab management software operated by System Optix (“we”, “us”). This policy explains what information we handle when you use our website, web app, desktop apps and Android app (the “Service”), and why.
2. Two kinds of information
- Lab data — what your lab enters about its patients and business: patient names and contact details, test orders, results, reports, invoices, payments, expenses and similar records. Your lab is in charge of this data; we process it on your lab’s behalf to run the Service.
- Account and usage information — details about your lab and staff users (lab name, names, phone numbers or email addresses, login details), your plan and payments, and basic technical information such as device type, app version and error logs.
3. How we use information
- to provide the Service: store your data, sync it between devices, print and send reports, and show it to your authorised staff;
- to create and secure accounts, activate plans and confirm payments;
- to back up, fix problems, keep the Service secure and improve it;
- to contact you about your account, your trial or plan, and important changes.
We do not sell your data, and we do not use patient information for advertising.
4. Isolation between labs
Every lab’s data is kept separate from all other labs. Staff of one lab cannot see another lab’s patients, results or invoices. Only the staff accounts your lab creates can sign in to your lab’s data, and an audit log records important actions.
5. Where data is stored, backups and security
Lab data is stored on our cloud server and synced to your devices. The desktop app also keeps a local copy so it can work offline. We take regular backups of the server, and apps connect to it over HTTPS. No system is completely risk-free, so please keep your passwords private and sign out on shared computers.
6. Sharing
We share information only when needed to run the Service or when the law requires it:
- When you choose to. If you send a report to a patient on WhatsApp, the report is sent through WhatsApp under your control.
- Service providers that help us host and operate the Service, who may only use the data for that purpose.
- Legal reasons, such as a valid request from an authority in Pakistan.
Our website loads its fonts from Google Fonts, so Google may see your IP address when you visit.
7. How long we keep data
We keep your lab’s data while your account is active. If a trial or plan ends, your account becomes read-only and your data is kept, not deleted. If you ask us to delete your lab’s data we will do so, except for anything the law requires us to keep. Backups are replaced over time.
8. Your choices and rights
- Export: you can export your lab’s data from Settings at any time.
- Access and correction: you can view and correct records in the app.
- Deletion: contact us to delete your account and lab data.
- Patients: if you are a patient and want to see or correct your information, please ask the lab that holds your records; they control that data.
9. Cookies and local storage
This marketing website does not use advertising or tracking cookies. The web app keeps your login session and settings in your browser (for example in local storage) so you stay signed in; the desktop and Android apps store similar data on your device.
10. Children
The Service is for laboratories and their staff, not for children. Patient records, including those of children, are entered and controlled by the lab.
11. Changes to this policy
We may update this policy and will change the “Last updated” date above. For significant changes we will notify you in the app or by email.
